Proposal Associate

Krakow, Poland
Full Time
Entry Level
K2 Integrity seeks a highly motivated and detail-oriented Proposal Associate to join our growing team. This junior-level role is ideal for someone who thrives in fast-paced environments, enjoys the challenge of persuasive writing, and is eager to learn and to contribute to high-impact pursuits. Our clients include governments, global corporations, and leading financial institutions that rely on our investigative and financial crimes compliance services.

This role requires grit, grace under pressure, and a passion for the chase. You will help coordinate all phases of the proposal process—from initial scoping and content development to pricing, packaging, and submission. You’ll also support broader strategic initiatives, including building out our case study library and refining client-facing materials.

We are looking for someone who is not only a strong individual contributor but also a great teammate who brings energy, collaboration, and curiosity to every project. You will play a key role in strengthening the proposal function, helping us scale our capabilities and sharpen our pursuit strategy as we grow.

Responsibilities:
  • Manage and coordinate each pursuit process from the first client call to the signed contract.
  • Track and manage the status of multiple pursuits.
  • Coordinate decision-making, content creation and discussion, engagement pricing, legal review, and other processes among senior leadership, including subject matter experts, the finance team, the legal team, and other related functions to meet deadlines, break bottlenecks, and deliver successful bids.
  • Analyze, decipher, communicate, structure, and manage the response to all bids, ranging from simple proposals or pricing requests to complex government RFP responses.
  • Assist with developing and writing about technical solutions and gathering critical information from past proposals.
  • Collaborate with subject-matter experts to refine proposal sections to ensure accuracy, compliance, consistency, and reflection of winning strategies.
  • Gather and prepare the required documentation to respond to RFIs and RFPs in compliance with provided instructions.
  • Manage proposal organization and tracking using the HubSpot proposal management system, and assist practitioners in learning and using the system, as needed.
  • Contribute to developing a centralized case study library and other business development assets.
  • Assist in developing proposal team processes, tools, and documentation.

Requirements:
  • Bachelor's degree in Communications, English, Marketing, or a related field.
  • 1-2 years of experience in proposal writing, RFP coordination, or professional writing.
  • Strong writing, editing, and proofreading skills with attention to tone, clarity, and detail.
  • Ability to manage multiple projects and deadlines in a fast-paced, high-stakes environment.
  • Comfortable working independently and coordinating with senior stakeholders.
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook); experience with proposal management tools and Microsoft CoPilot a plus.

This role is work from home (Poland).
